What this email follow-up app does

Sending an important email is easy. Remembering to follow up when nobody replies is the part that slips.

Orchestero's free email follow-up app watches the Gmail conversations you choose and reminds you in a private Telegram bot if a reply has not arrived. It can prepare a draft, but it never sends email for you.

The bot lists recent sent email, lets you search by subject or person, and watches a selected thread until someone replies, the reminder deadline arrives, or you stop it yourself.

You can keep up to three active reminders at once. That limit makes it a personal follow-up aid, not a sales-sequence engine or shared CRM.

The bot can create an unsent follow-up draft when you ask. It does not send the draft, schedule an outgoing message, track opens, manage a team inbox, or decide automatically that every sent message deserves another email.

Not every silence is a lead to chase. Sometimes the answer is no, sometimes the person is busy, and sometimes your original message did not need a response. The bot keeps the decision with you.

Set a Gmail follow-up reminder in Telegram

Open the free Email Follow-up Tracker creator and choose Create my bot. Telegram helps you create a new bot with its own username. Open the bot's private chat, send /start, and choose Connect Gmail or send /connect.

After connecting, send /sent to see recent sent conversations. Choose one, then choose the reminder time. If the thread is older, use /search followed by a subject or person's name. Most people can ignore the lower-level /track command and use the buttons and search instead.

Use /reminders to review active items, change a deadline, or stop one. Use /account to check the Gmail connection or disconnect it. Disconnecting Gmail also stops active reminders.

Pick a deadline based on the conversation

Do not begin by tracking everything in Sent. Pick one conversation where a response changes what you need to do next: a proposal awaiting a decision, an invoice question holding up payment, a supplier request blocking an order, or a document awaiting approval.

Choose the deadline based on the real decision window, not anxiety. A same-day reminder for a non-urgent proposal usually creates noise. A reminder after a reasonable response period tells you something useful: the thread is still unanswered, and now you can decide whether to follow up.

When the reminder arrives, open the original conversation before writing. The situation may have changed outside email, another participant may have replied elsewhere, or the recipient may already have given you a relevant date.

  • Track only conversations where a reply changes the next action
  • Give the recipient a reasonable response window
  • Review the original thread before sending anything
  • Stop reminders that no longer represent a real commitment

Understand the Gmail permission boundary

The connection screen may show broad Gmail permissions from the integration provider, including capabilities that could technically send or delete email. The free bot uses the connection to list recent sent messages, read conversations you choose, detect replies, and create unsent drafts for review. It does not send or delete email.

Review the permission screen, connect the intended Google account, and disconnect it if you stop using the tracker. Never paste Gmail passwords, bot tokens, private email text, or other credentials into a chat or feedback message. If any Gmail access is unacceptable for the conversation, use a manual reminder instead.

The bot does not track opens, schedule an outgoing message, manage a team inbox, or decide that every sent message deserves another email. Not every silence is a lead to chase; keeping that decision with you is a feature, not a missing automation.

Follow up without turning silence into a campaign

A reminder is not permission to send five increasingly urgent messages. Before following up, ask whether your requested next step was clear, whether the recipient had enough time, and whether you have something useful to add.

A useful note is often short: bring the thread back to the top of the inbox, restate the decision, and offer an easy way to respond. Avoid pretending that just checking in is valuable on its own. If the bot prepares a draft, read it like a note from a colleague who does not know everything that happened since the original email. Check the recipient, facts, tone, attachments, and requested action before sending.

Three active reminders may look small beside a sales platform with sequences and dashboards. For personal work, the limit can be healthy: it makes you name the few conversations whose silence really changes a decision.
